Kadamb Overseas Pvt Ltd ("Kadamb", "we", "our", "us") respects your privacy. This policy explains what information we collect, how we use it, and the rights you have. It applies to apply.kadamboverseas.com and any related communication channels (WhatsApp, email, phone).
1. Information we collect
When you book a counselling call, we collect:
- Your full name
- WhatsApp number and phone number
- Email address
- Course level, country preference, and intake timeline you indicate
- Payment confirmation data from Razorpay (we do not store card or bank details — Razorpay handles all payment processing)
- Basic technical data your browser sends (IP address, device type, referring URL, page interactions) for analytics and fraud prevention
2. How we use your information
- To schedule your counselling call and send you booking confirmations
- To follow up on incomplete bookings or refund requests
- To improve our services and understand which marketing channels work
- To comply with legal obligations under Indian law
We do not sell your data. We do not share your phone number, email, or personal details with third-party universities, agents, or marketers without your explicit consent.
3. Who has access to your data
Your data is accessed only by:
- Authorised Kadamb Overseas employees (counsellors, support team)
- Our service providers under data-processing agreements: Razorpay (payments), Pabbly (workflow automation), TeleCRM (lead management), Google Workspace (email & sheets), WhatsApp Business
4. How long we keep your data
Lead data is retained for up to 36 months from your last interaction with us. Payment records are retained for 8 years as required under Indian tax and accounting laws. You may request earlier deletion (see Section 6).
5. Cookies and analytics
We use cookies and analytics tools (Google Analytics, Meta Pixel) to understand visitor behaviour and improve our advertising. You can disable cookies in your browser settings. No personally identifying data is shared with these tools beyond what's necessary for the service.
6. Your rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Withdraw consent for marketing communication at any time
- Lodge a complaint with India's Data Protection Authority
To exercise any of these rights, email support@kadamboverseas.com with the subject "Data Request". We respond within 30 days.
7. Security
We use industry-standard measures to protect your data: HTTPS encryption, role-based access in our CRM, and encrypted backups. However, no system is 100% secure, and we cannot guarantee absolute protection against unauthorised access.
8. Children
Our services are intended for individuals aged 17 and above (typical study-abroad applicants). We do not knowingly collect data from children under 17 without parental consent. If you believe we have done so, contact us and we'll delete the data.
9. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be notified via email to existing leads.
